Every product and service that KGI offers is processed and handled according to its Product Specifications.
Each specification defines the default features, procedures, and other parameters by which KGI processes a single search. This ensures compliance, consistency, and equity in the processing and billing of reports across applicants.
Criminal/360 Core Suite
Criminal/360 Criminal Court Research Solutions
*Additional Court Fees may be required depending on the jurisdiction being searched. Refer to Third-Party Fees for more information.
National Net
Includes one (1) check of approximately 2000 databases across the United States, including all available sex offender databases, as well as multiple foreign databases and federal sanction/exclusion lists (Including OIG-LEIE, SAM, FINRA, and many more).
County
Includes one (1) check of county criminal records in one (1) jurisdiction for one (1) name. Court fees may apply. See this article.
State
Includes one (1) check of a state's statewide criminal court, covering all county and state criminal courts in that state within in a single search, for one (1) name. Court fees may apply. See this article.
Federal
Includes one (1) search of all Federal criminal court records for the entire United States for one (1) name. Court fees may apply in rare cases. See this article.
International
Protocol needs to be determined on a case-by-case basis. KGI will research the process, develop a plan of action, and present it to you prior to commencing research. Turn around times are not guaranteed and may far exceed TATs of research within the United States. All work is done under a "cost-plus" model per your pricing agreement. Additional documentation may be required.

Employment
Verifies employment at one (1) employer.
Verifies job title and dates of employment.
KGI attempts to contact the employer or their authorized representative. The following protocols apply:
Number of Attempts: 5; see Attempts Protocol for the definition of an attempt.
After three (3) unsuccessful attempts, KGI may utilize and/or suggest an alternative method of verification (see Alternative Source Protocol below)
If KGI is directed to a third-party verification company, our Verification Permission Protocol will be followed.
Will not be processed if KGI receives "do not contact" request during the ordering process.
Reference
Retrieves one (1) reference from one (1) source.
KGI attempts to contact the reference. The following protocols apply:

After three (3) unsuccessful attempts, KGI may utilize and/or suggest an alternative method of verification (see Alternative Source Protocol below)

Education
KGI attempts to contact one (1) educational institution to verify one (1) diploma or degree.
KGI attempts to contact the educational institution or their authorized representative. The following protocols apply:

After three (3) unsuccessful attempts, KGI may utilize and/or suggest an alternative method of verification (see Alternative Source Protocol below)

Healthcare/360 Suite
ProScan Levels 1-3
Scan of healthcare compliance-related data sources for one (1) name.

Healthcare License Verification
KGI attempts to contact one (1) issuing institution to verify one (1) license or certificate.
KGI attempts to contact the issuing institution or their authorized representative. The following protocols apply:

Requests DOT history from one (1) DOT employer for one (1) name.

Related Protocols
Attempts Protocol
KGI limits the maximum number of "attempts" for several of its products to ensure operational resources are not being consumed by work that cannot be reasonably completed.
The following are considered an "attempt" when processing work:
Initiating a phone call to a provided or researched number
Initiating an email to a provided or researched email
A fax to a provided or researched fax number
An automated verification request to a provided or researched contact method
Research to gather a single method of contact due to one not being provided, or the determination that a provided method is invalid
A direct contact with the applicant or ordering user to request additional information
A delayed response to an attempt, such as a verifier contact returning a phone call, is not considered a new attempt. The next attempt cycle begins when KGI initiates a new attempt or follows up on a previous attempt at least one business day later.
Except in rare circumstances, KGI will not make more than one attempt per business day. More than one attempt will only be made per day if KGI has information that an alternative source may result in a faster verification.
When all included attempts are exhausted and the verification cannot be completed, the verification will be closed by KGI with the outcome of "Response Received- No". Additional attempts may be requested by contacting us at care@kgi360.com (additional fees apply).
Attempts made by postal mail due to source requirements may incur postage/shipping charges.
Verification Permission Protocol
In the event that KGI is directed to a third-party verification source, the following will occur:
You will receive an email from KGI with several options on how we should proceed.
Respond to the email with your chosen option:
OPTION 1:
Approve KGI to incur third-party fees to complete this search (more information on third-party fees here).
Any reasonable fees we encounter will be added to your next invoice.
These fees vary and are subject to change by the third party. KGI's fee table may have an update delay.
Once incurred, KGI cannot provide credit except under our KGI/Advantage policy.
OPTION 2:
Deny KGI to incur third-party fees to complete this search.
KGI will utilize its Best Effort-Contact procedure to complete this verification without incurring fees.
If KGI does incur fees after you provide your response, KGI will absorb those fees under our KGI/Advantage policy.
OPTION 3:
Deny KGI to incur third-party fees to complete this search.
KGI will utilize its Best Effort-No Contact procedure to complete this verification without incurring fees.
If KGI does incur fees after you provide your response, KGI will absorb those fees under our KGI/Advantage policy.
OPTION 4:
Request direct contact by KGI Customer Care to discuss this request further.
KGI will proceed as directed.
Best Effort Protocols
Best Effort-Contact
Provides KGI permission to contact your applicant directly for any additional information we need. We minimize our contact with your applicant to the best of our ability.
Best Effort-No Contact
Prevents KGI from contacting your applicant. We will direct any information requests to the person who placed the order.
Alternative Source Protocol
KGI may assess that an alternative form of verification is a more effective course of action. Examples of this include:
A pay stub or W-2 may be more effective than seeking direct employment verification from the employer
A transcript or diploma may be more effective than seeking direct education verification from the institution
In this event, KGI will proceed with the alternative form of verification. If we need to contact your applicant, you will be contacted to provide permission where applicable.
FAQs
I want my searches processed in a different manner than prescribed in the specification
We understand that you may have a unique use-case that doesn't fit into our standard specifications. We offer our Enterprise customers the ability to develop their own protocols. For more information on becoming an Enterprise customer, please send us a message at sales@kgi360.com.
I don't want to pay third-party, pass-through, or outsource fees
Effective January 3, 2022, KGI will request guidance on how to proceed when we encounter a third-party fee. This is detailed in our Verification Permission Protocol.
